Reception Console Privacy Policy
Reception Console lets authorized account owners and business staff review caller messages, transcripts and CRM records, open their phone's dialer to return a call, and enable message notifications. Where online setup is enabled, individuals and businesses can create a setup account and submit receptionist instructions for review. Setup does not automatically activate service, charge a payment, or purchase a phone number. The app does not offer in-app billing, booking or calendar management in this release.
Information used by the app
- Account access: the Business ID and password you enter are sent to our server to authenticate you. A session token is stored in the phone's secure storage and sent with authenticated requests.
- Setup accounts: we use your email address and a hashed password for account access and send email codes for verification and password reset through our configured email provider (Resend or Postmark). That provider processes your recipient address and the email content. Setup records include your account type, name, contact number, receptionist instructions, availability, phone-number preferences, and, for business accounts, business details. Saved drafts, review notes, setup status and security events are held by our service. The desktop setup page keeps its session in memory; signing in again restores your saved server-side draft.
- Messages: the app retrieves caller information, call times, captured requests and available transcripts belonging to your business. These can contain names, telephone numbers, addresses and other information callers provided to the receptionist.
- Notifications: when enabled, the app sends a push token and device platform to our server. Expo and Google's Firebase Cloud Messaging deliver Android notifications. Message alerts identify the business and message so the app can open the relevant record after sign-in.
- Device preferences: intro completion and app-lock preferences are stored on the device. Biometric checks are performed by the operating system; the app does not receive your biometric template.
The callback button opens your phone's dialer with the caller's number. You decide whether to place the call. Reception Console does not record a call made through that dialer.
Receptionist service and providers
The business's receptionist service handles the incoming call separately from the mobile app. It can process caller audio, transcripts and contact details using phone, speech and language-model providers. The business's service configuration determines whether recordings, SMS or calendar services are used. Hiding those management screens in Reception Console does not disable the business's existing service.
Our hosting and network providers process requests needed to operate and secure the service. If diagnostic reporting is enabled, reports can include device and app versions, a business identifier and error details. Contact us for information about the providers and configuration that apply to your business.
When live number search is available, your requested area code is sent to Twilio to look up available voice numbers. Selecting a result stores a preference, not a reservation or purchase. An Individual/Business setup choice does not itself determine the registration or identity checks required by phone providers.
Storage and retention
Account configuration, caller records and push registrations are held by the service. Retention depends on the record type, the business's configuration and operational backup settings. Removing a record from the active service does not immediately remove copies in backups or records held by separate service providers.
Contact us to ask what information is held for your account, its retention period, or to request deletion. We will identify the requested scope and explain any retained records and applicable exceptions when handling the request. This page does not promise immediate deletion or a fixed backup-expiry date.

- Manage notification permission in your phone's settings.
- Enable app lock in Reception Console Settings when your device supports it.
- Sign out on this phone or use Sign out on all devices for your business account.
- Request access, correction or deletion through support. The account deletion page explains how to request deletion without signing in.
If you are a caller, contact the business you called about its records. You can also contact us for help identifying the appropriate business without sending a full transcript or sensitive information by email.
Security and audience
The production app uses HTTPS for its API requests and authenticates requests to a business's records. Keep your password private. The app is intended for adult account owners and authorized business staff.
